# Finance

Finance and controlling show money at every stage: planned, committed by a purchase order, actually spent and forecast. Inbound invoices are captured, coded, checked for risk and approved, outbound invoicing follows the billing schedules agreed in commerce, and everything approved flows to the accounting program that keeps the books.

Module

- Budget control: plan, committed, actual, forecast
- Inbound invoices: captured, coded, risk-checked, approved
- Invoicing, payments, cash flow and reports per area
- Connected to the accounting program that keeps the books

## Money at every stage

Most finance reports describe money after it has moved. By then, the decision that spent it was taken weeks ago. Hurukan shows each budget at four stages: planned, committed by an approved purchase order, actually invoiced and paid, and forecast to the end of the period. A manager approving a purchase sees what it does to the budget before saying yes, rather than at the month-end close.

## Inbound invoices without retyping

An inbound invoice is captured — from a structured e-invoice, an email or a scan — and an agent codes it to the budget, cost centre and project, and matches it to the purchase order and the delivery in **Procurement**. Before it reaches a person for approval, it is checked for risk: a duplicate, a changed bank account, an amount that differs from what was ordered or received. Approved invoices flow to the accounting program through the integration.

## Invoicing that follows the contract

Outbound invoices are raised from the billing schedules and milestones agreed in **Commerce**. When a milestone is reached, an agent prepares the invoice; a person approves it before it goes out. The terms come straight from the order, so nobody has to look them up in a contract filed somewhere else.

## How it fits with what you run

Full accounting runs in a dedicated accounting program, and Hurukan connects to it: approved invoices, postings and payments flow there through an integration, while the general ledger, statutory reporting and tax stay where your accountants keep them. Payment runs are proposed by agents and approved by a person; the security layer enforces that approval on the server.

## What the module covers

01

### Budget control

Each budget shown as plan, committed, actual and forecast, so a purchase order counts against the budget when it is approved, not weeks later when the invoice arrives.

02

### Inbound invoices

Captured from e-invoices, email or scans, coded by an agent to the right budget and cost centre, approved by a person and passed to the accounting program through the integration.

03

### Risk check

Every inbound invoice checked for duplicates, changed bank details, amounts that differ from the order or delivery, and unfamiliar suppliers, with the reason for any flag.

04

### Invoicing

Outbound invoices raised from billing schedules and milestones in commerce, prepared by agents and approved before they are sent.

05

### Payments and cash flow

Payment runs proposed from due invoices and approved by a person; expected receipts and payments combined into a cash-flow view.

06

### Reports per area

Spend, margin and budget position per department, project or cost centre, from the same record that produced the transactions.

## Questions

Does Hurukan replace our accounting system?

Full accounting — the general ledger, statutory reporting and tax — runs in a dedicated accounting program that Hurukan integrates with. Hurukan covers finance and controlling: budgets, inbound invoices, invoicing, payments and cash flow. Approved invoices, postings and payments flow to the accounting program through the integration.

Who approves payments?

A person. Agents capture, code and check invoices and propose payment runs. Money leaving the company is a critical operation, so a person approves each run, and the security layer enforces that approval on the server.

What does the risk check look at?

Duplicate invoices, bank details that differ from the supplier's record, amounts or quantities that differ from the purchase order or the delivery, and suppliers the company has not paid before. Each flag shows its reason.
